Frequently Asked Questions about Birthday Invitations

How far in advance should I send birthday invitations? Does that differ with milestone birthdays?

For standard kids' parties, send invitations at least 3 weeks in advance, with the optimum amount of notice being 4 weeks. Increase this to 6 weeks if a booked venue requires a headcount. For adult parties, 4 weeks is ideal, but 6 weeks allows for more planning time. For milestone birthdays, such as a quinceañera or sweet sixteen, send invitations around 8 to 10 weeks in advance. Milestone birthdays involve a higher guest count, more vendor coordination (catering, outfits, venue), and guests may need extra lead time to arrange travel and purchase gifts.

What do I write on a birthday party invitation?

Include the important details first, such as the guest of honor's full name and age (provided they want their age shown on the invitation). Then add the time, location, whether or not it's a surprise party, and clear RSVP instructions. Additional details include the dress code, parking, and food information (with an option for guests to inform you of dietary requirements or food restrictions). For kids' birthday parties, state whether siblings are also welcome, and if some children from their class in school are invited, mention that it's a small event with only a few close friends attending to prevent any confusion. Traditionally, milestone birthdays clearly have the age displayed on the invitation, but double-check with the guest of honor first about whether they're comfortable with that.

Do the invitations come with envelopes?

By default, all invitations come with the option to include envelopes. They're free for flat, acrylic, magnetic, and tri-fold invitations, but they cost extra for folded and all-in-one invitations (typically around $0.15 per card). They must be purchased separately for vellum invitations, and postcards are traditionally sent without envelopes. Free Guest Addressing is also available for most types of invitations, but your order must contain a matching number of cards for it to qualify. If a card is eligible, there will be a button that says 'Addressed Envelopes with FREE Guest Addressing' in the product options section on the product page.

How many invitations should I order (and how many extras)?

Birthday invitations are generally sent per guest. A typical toddler/kids' party has between 5 and 20 guests, while older kids, adult, and milestone parties often have between 20 and 40 guests. A general rule of thumb is to order more than your planned guest count for last-minute additions or keepsakes. Since most of our invitations come in packs of 10, we recommend rounding up to the next pack size or adding around 10 to 15% more invites (instead of 50, order 60, for example).

How much do birthday invitations actually cost?

In the case of a flat paper invitation measuring 5 x 7 in, with squared corners, Signature Matte paper, and the Standard Printing process, the base cost of 1 invitation is around $2.71. If you purchase 40 invitations, which earns you a 20% volume discount, the cost of 1 invitation is $2.17, and the total price is $86.72. Costs vary depending on which type, size, corner style, paper type, printing process, and quantity you choose. Delivery will then carry an additional charge based on which speed you choose: Standard is the cheapest, but it will take the longest. See the next question for more delivery information.

What's the real turnaround time from order to delivery?

All birthday invitations have a minimum manufacturing time of 2 days and a maximum of 4 days, not including weekends or the day you place your order. These figures vary depending on the type of invitation. For example, acrylic birthday invitations take a minimum of 3 business days to produce, and letterpress invitations take 4 business days to produce. Delivery estimates are then based on whether you choose Standard, Premium, Express, Zip, or Zip PLUS. Zip cuts the manufacturing time to 1 day, with delivery in 1 to 2 business days, while Zip PLUS will push your order to the very front of the manufacturing queue and reach you on the next business day. Click the date just above the 'Qty:' button to get exact information on delivery estimates.

Should I order a sample before the full print run?

Many customers order 1 sample birthday invitation first. By purchasing Worry-Free Design Review and Delivery at checkout, we'll hand-check the design before it's sent off for printing, and if you're unsatisfied in any way, you can return it within 30 days and receive a refund, credit, or an exchange. Happy with the invitation? Reorder the same design by signing into your Zazzle Account, clicking on 'My Orders,' finding the appropriate Order ID, then updating the quantity. Click 'Add to Cart' and follow the checkout process.

What is the most popular size, and what types of paper do you offer?

The most popular size for birthdays is 5 x 7 in, which fits perfectly into A7 envelopes, and the second most popular size is 4.5 x 6.25 in. We offer 6 different paper types, each measured by GSM, which stands for 'grams per square meter.' A higher GSM means thicker paper. You can choose from Basic Semi-Gloss (400 GSM), Signature Matte (324 GSM), Signature Double-Thick (600 GSM), Premium Linen (352 GSM), Premium Pearlescent (350 GSM), and Premium Soft Touch (345 GSM). Click on 'Compare Papers' in the Paper Type section on any product page for more information. Signature Matte is the most popular choice for writing on due to its non-glossy, textured surface.

What happens if guests don't RSVP, and when should I follow up?

Send out a reminder roughly a week before the RSVP deadline. A simple, effective way of wording it is to say: "Just a friendly reminder to RSVP if you haven't yet." Potential guests should RSVP, even if they're not attending, but for the sake of planning purposes, treat a lack of response as a soft "no." Once the deadline has passed, allow one last opportunity by sending another reminder. You can use Zazzle Events to track RSVPs and set auto-reminders for potential attendees, or set up a group chat to send reminders all at once.

What other products would be useful for a birthday party?

  • Wrapping Paper: Wrap gifts with paper designed to match the theme of the birthday celebration. You can order a set of 3 sheets instead of a roll if you only need to wrap a small present or a single present.
  • Banners: Personalize these with the recipient's age or birthday messages, and decorate walls, doors, or party tables to build atmosphere.
  • Paper Plates: Keep a stack of plates for buffet-style snacks or serve with birthday cake. Guests won't need to worry about dropping them, and they're easy to carry.
  • Paper Cups: Keep post-celebration cleanup to a minimum by serving drinks in personalized paper cups. They're also budget-friendly if you're expecting a large turnout.
